Backup Policy and Procedures (eMax Hosted Websites)

This page explains how backups work for websites hosted with eMax Hotel Internet Marketing and what to expect if you ever need a restore.

What we back up

Your hosted website on eMax servers is backed up as a part of a full server backup, which includes:

  • Your website files and content stored on the server
  • Your specific site configuration and system components

Backups are designed to help us recover service in the event of data loss, corruption, or a critical server issue.

Backup schedule

  • Frequency: Once per week
  • Day: Wednesday
  • Start time: Typically mid-afternoon (may vary)
  • Type: Full server backup

Retention period

  • Retention: 30 days
    This means weekly backup points are kept for up to 30 days before they age out.

What is the maximum expected data loss

Because backups run weekly, the maximum expected data loss is the time between:

  1. the most recent Wednesday backup, and
  2. when a restore is performed.

Example:

  • If a restore is requested on Friday, changes made after Wednesday’s backup may not be recoverable.

Restore process and expected time

Our backups are rsync-based. Restore time depends on transfer speeds and overall server activity, so it is an estimate, not a guarantee.

  • Estimated restore time: about 8 hours for a full restore in typical conditions
    Restore time may be faster or slower depending on network and system load.

How to request a restore

To request a restore, contact eMax support and provide:

  • Your website/domain name
  • The issue you are experiencing (what happened, when it started)
  • The preferred restore point (for example, “last Wednesday backup”)
  • Confirmation that you authorize the restore (restores can overwrite newer data)

We will review the request, confirm the most appropriate restore point, and coordinate timing to reduce disruption.

Important notes

  • A restore may involve downtime or limited site availability while data is being recovered.
  • Restoring from a backup can overwrite newer changes made after the backup date.
  • If you require more frequent backups or a different retention plan, contact us to discuss options.

Third-Party Backup Plugins (Optional)

Some clients choose to add an additional layer of protection using third-party backup plugins (for example, WordPress backup tools). These backups are separate from eMax’s weekly server backups described above.

If your plan includes eMax-managed premium backup plugins

If you have purchased a hosting/maintenance plan that includes premium backup plugin coverage, the plugin backup schedule is typically configured at:

  • the time of site launch, or
  • the time the plugin is installed/activated

Because schedules and storage destinations can vary by site, please contact eMax and we will confirm:

  • your plugin backup frequency
  • the backup storage location
  • the most recent successful backup time (when available)

If you installed the backup plugin yourself

If you (or a third party not managed by eMax) installed the backup plugin, then it is your responsibility to:

  • configure the plugin fully (schedule, retention, and exclusions)
  • connect it to your chosen storage provider
  • verify backups are completing successfully and are restorable

Required storage location for self-installed backup plugins

All self-installed backup plugins must be configured to save backups to a client-owned backup destination (your storage of choice), not to eMax servers.

Examples of client-owned destinations include: cloud storage accounts you control (such as Google Drive, Dropbox, Amazon S3, etc.) or another off-server repository under your ownership and access.

Do you back up my site every day?
No. eMax server-level backups run weekly on Wednesdays and are retained for 30 days. Daily backups are not included unless you have an additional backup solution in place.

Will I lose recent changes if we restore?
Possibly. Any updates made after the last Wednesday backup may be lost. For example, if a restore is requested on Friday, changes made after Wednesday’s backup may not be recoverable.

How long will a restore take?
A safe estimate for a full restore is around 8 hours, but restore time can be faster or slower depending on transfer speeds and system conditions.

What exactly is included in the server backup?
It is a full server backup, which includes your server content and system components (including the operating system).

Do you offer plugin-based backups too?
Some plans include premium backup plugins managed by eMax. In those cases, the backup schedule is typically set at site launch or plugin installation. Contact eMax to confirm your exact schedule and backup location.

I installed my own backup plugin, will eMax manage it?
No. If you installed the plugin yourself (or had a third party install it outside eMax management), it is your responsibility to configure it, verify it runs, and confirm backups are restorable.

Where should my self-installed backup plugin store backups?
Self-installed backup plugins must save backups to a client-owned backup location (your storage of choice) excluding eMax servers.


Maintained by eMax, Hosted Elsewhere (Backups, Restores, and Uptime)

Some clients have an eMax maintenance contract for website updates, support, and ongoing improvements, but the website is hosted on infrastructure that is not managed or controlled by eMax (for example, a third-party hosting provider, a corporate server, or another managed platform).

Backup and restoration responsibility

When eMax is not contracted to provide backups or restorations for a non-eMax hosted site:

  • eMax is not responsible for backup configuration, backup monitoring, retention, storage location, or restore testing
  • Restoration requests must be handled by the hosting provider (or by the party responsible for backups under your hosting agreement)
  • If a backup plugin or backup service is in use, the schedule and storage destination depend on how that system was set up (by you, your host, or a third party)

No uptime guarantee on non-eMax hosting

Because the hosting environment is not under eMax’s control, eMax does not guarantee uptime, performance, or availability for websites hosted outside the eMax hosting platform.

Examples of issues that may affect uptime on non-eMax hosting include:

  • server outages or maintenance by the host
  • resource limitations (CPU/RAM/storage)
  • security events, malware cleanup, or account suspensions
  • platform updates, PHP version changes, or server configuration restrictions
  • DNS, SSL, email, or network routing issues managed by third parties

What eMax can still do

Even when backups/restores and uptime are not included, eMax can often assist by:

  • coordinating with your hosting provider (with your authorization)
  • troubleshooting site-level issues (WordPress/plugin/theme conflicts, errors, performance bottlenecks)
  • recommending a backup strategy you control (or adding managed backups as an upgrade, if available)

Is my website backed up by eMax if it’s hosted somewhere else?
Not necessarily. If your maintenance contract does not include backups/restorations, then eMax is not responsible for backups, retention, storage location, monitoring, or restores. Backups are typically handled by your hosting provider or your own backup solution.

Can eMax restore my site if something breaks?
Only if backups/restores are included in your agreement, or if a viable backup is available through your host or your own storage and you authorize coordination. Otherwise, restores must be handled by the party responsible for backups (usually your host).

Does eMax guarantee uptime for my non-eMax hosted site?
No. eMax does not guarantee uptime, performance, or availability for websites hosted outside the eMax platform, because the hosting infrastructure is not under eMax’s control.

Who do I contact if my site is down?
Start with your hosting provider (they control the server and can confirm outages, resource limits, suspensions, SSL/DNS issues, etc.). You can also contact eMax so we can help diagnose the website-level symptoms and, if needed, coordinate with your host.

If I have a backup plugin on my non-eMax hosted site, is eMax responsible for it?
Only if eMax installed and manages it as part of your plan. If you installed it yourself (or a third party did outside of eMax management), configuration and verification are your responsibility, and backups should be stored in your client-owned backup location (not on eMax servers).
